DATEV Meine Steuern: Enter tax details and answer questions
Guide to the ‘Tax Data’ section in DATEV Meine Steuern. Enter details without supporting documents, complete the questionnaire on travel expenses, working from home and telephone usage, and confirm and update your details.
Introduction
Not every piece of tax-relevant information is supported by a receipt. How far you travel to work, how many days you work from home, or what proportion of your telephone contract is for business purposes – you can enter details such as these in the ‘Tax Data’ section of DATEV Meine Steuern.
Guided questions lead you through the necessary entries. You answer, step by step, what is required for your tax return, and do not need to write anything in your own words or work out for yourself which details are relevant.
First, a clarification, as this section is often confused with the document upload feature:
This section is not about documents, but about details entered into the system. Document uploads and tax data complement each other: some items require a document, some just a detail, and some both.
This article explains what constitutes tax data, how to use this section and how to navigate through the interview.
Word-for-word transcript
Not every piece of tax-relevant information requires a supporting document. Details such as how far you travel to work, how many days you work from home, or what proportion of your mobile phone contract is for business purposes can be entered in the ‘Tax Information’ section. Guided questions will lead you through the necessary entries. You’ll answer, step by step, what’s required for your tax return and won’t need to write anything in your own words or work it out yourself. A clarification first: this isn’t about documents, but about details entered into the system. Uploading supporting documents and entering tax-related data complement each other. Some items require a supporting document, some just a figure, and some both. This article explains what constitutes ‘tax information’, how to use this section and how to navigate the guided questions.
What constitutes ‘tax information’
In the Tax Information section, you enter personal and tax details for which no traditional supporting document is available. These include, for example:
- Personal details: name, address, marital status, bank details for a refund
- Commuting: distance between your home and place of work for the mileage allowance
- Working from home: number of days you worked from home
- Telephone and internet: the proportion used for work
- Other work-related expenses that are reported as details rather than via a single receipt
We incorporate this information directly into the tax return and link it to the relevant fields.
Using this section
We activate the ‘Tax Data’ section for you on a tax year basis. It will only appear in your portal for the relevant year once this has been done.
If the section is not yet visible to you, we may not have activated it for the selected tax year yet. Please get in touch with us briefly, and we will activate it for you.
Once the section has been activated, please confirm and update the details there for the relevant tax year. Check the existing details and add any missing information.
The interview step by step
Word-for-word transcript
You enter your tax details in an interview format. I’d like to go through this interview with you step by step. Under ‘Personal details’, enter your personal details. That means your title, first name and surname are correct so far, and your date of birth is also correct. I am a tax adviser by profession and am not liable for church tax. This has not changed in 2025 either. My address is correct, my email address is also correct, and in 2025 I am now married. We can now enter the specific date there as well. Now let’s move on to the bank details. I have no children entitled to child benefit and have no further information for the firm. I can now save this. Under ‘Professional details’, we’ll go through the professional information. For 2025, travel expenses. Can we add travel expenses? I set off from 36 Gartenstraße and drove to 4 Musterstraße in 31134 Hildesheim by car. The distance is 2 kilometres from 1 January 2025 to 31 December 2025, 5 days a week. I had 30 days’ holiday, was off sick for 10 days, was not absent on any other occasions, and I have no further comments for the firm. The next section deals with working from home. You can add a home office here. The first question is whether, in 2025, a workplace was generally available at your employer’s premises. Yes, throughout the year. And on 30 days in 2025, I worked from home. I have no comments. The final item under work-related expenses is internet and telephone. This concerns whether we used an internet or telephone connection for business purposes in 2025. We can add that here as well. It was with Telekom. We used it for twelve months at a monthly cost of 50 euros. And the proportion of business use was a flat rate of 20 per cent. Alternatively, you can also enter a specific amount here. You can also leave comments here. And that covers our business expenses. You also have the option here to enter the costs for your partner. Under ‘Rental and Leasing’, we can create properties for letting and leasing. By clicking ‘Add rental and lease’, we can create the property here. This is Musterstraße 5 in 31134 Hildesheim. This is the property – specifically, flat number 1 on the first floor on the left. The property is owned 50% each by myself and my partner. It was acquired on 3 July 2025 and was also completed on 3 July 2025. The property was neither sold nor transferred free of charge in 2025. Nor was the property used as a holiday let, let on a short-term basis, or let to relatives for residential purposes. It has a total living area of 80 square metres. Of this, 0 square metres were used for personal occupation or let to others free of charge, and 0 square metres were used as a holiday let. The rental income for 2025 has changed compared with the previous year. Here you can leave comments for the solicitors’ firm; for example, the basic rent is 750 euros. You can now save this here and, via ‘Documents’ for uploading in this section, simply select files; theoretically, you could also attach the tenancy agreement. Once you have finished, you can click ‘Start’ to notify the law firm.
The interview guides you through the entries by topic, such as a section on professional expenses.
-
Open the ‘Tax Details’ section
Select the tax year and open the ‘Tax Data’ section.
-
Select a topic
Start a guided topic, for example, business expenses or the mileage allowance.
-
Answer the questions
Go through the questions in order and enter the required figures.
-
Confirm and save
Confirm your details. These will then be available to us for your tax return.
Do not carry forward figures from the previous year without checking them. Commuting distances, days worked from home or insurance premiums often change from year to year. Out-of-date information will result in an incorrect tax return.
Consider details and supporting documents together
Some items require both – a declaration and supporting documentation. For example, you should enter the amount for donations and also upload the donation receipt \[Link zu einem Hilfsartikel].
For other items, the entry alone is sufficient, such as for the distance to work. The system will indicate during processing which additional supporting documents are required in your case; if anything is unclear, we will ask for further details.
Common sources of error
- Section not activated: As long as we have not activated the section for a tax year, it will not appear. This may look like an error, but it is simply a matter of the section not being activated.
- Previous year’s figures not updated: Figures carried over from the previous year are often no longer correct. An unverified entry leads to an incorrect tax return.
- Incomplete details: Incomplete or half-filled sections will result in us having to ask for further information. We cannot process the item until the details are complete.
- Declaration instead of supporting document – or vice versa: Some items require both. If the relevant supporting document is missing, the declaration is often not recognised for tax purposes.
- Incorrect tax year: Details relating to the wrong year are missing from the current tax return. Please ensure you select the correct tax year.
Frequently asked questions
Do I need a supporting document for every entry?
No. Some items are entered as a declaration only, such as the distance to work. Others require additional supporting documentation, such as donations. We will clarify what is required in your case whilst processing your return.
What should I do if I don’t understand a question?
Leave the relevant field blank for now and get in touch with us. We’ll help you enter the correct information.
Can I change my details later?
As long as we haven’t finalised your tax return, you can update your details. Please let us know briefly about any subsequent changes.
The ‘Tax Information’ section isn’t appearing for me – why is that?
This section is activated for each tax year. If it isn’t visible, it means we haven’t yet activated it for the selected year. Please get in touch with us and we’ll activate it for you.
Will my details from the previous year be carried over?
Some details from the previous year are available. Please check these in any case, as figures such as distance or days worked from home may have changed.
How are ‘Tax Data’ and my supporting documents linked?
The two complement each other. The supporting documents provide the evidence, whilst the tax data provides the information for which there is no supporting document. We link both to your tax return.
Do I have to go through all the topics in the interview?
The topics that apply to your situation are relevant. You can skip those that do not apply to you. If in doubt, please contact us.
