FP Sign: Account and Registration

When it makes sense to have your own account with FP Sign, how to set one up, and which settings to configure within it.

Introduction

You do not need an account to sign a document via FP Sign. The link in the email and, if applicable, the SMS TAN are sufficient. An account is a useful addition for clients who regularly receive documents from us and wish to manage them in one place.

With an account, you can view all pending and completed requests in a single overview, re-download signed documents at any time and save a signature image as your default. The account is free of charge.

First, a few clarifications, as there are often misunderstandings regarding the account: the account does not commit you to anything. You are not entering into a contract with FP Sign and can continue to sign via the link in the email.

When sending documents, we can specify that you must log in before signing. In this case, you’ll automatically receive a registration link with your first request; you don’t need to set up an account yourself.

An account is not a substitute for the SMS TAN. Even if you have an account, we usually secure the signing process additionally by sending a TAN to your mobile number.

With or without an account

Without an account (guest access)

You open the link in the email, enter the SMS TAN if required, and sign. There is no password and no need to log in. The signed document is sent by email once the process is complete.

This is the simplest method and is perfectly adequate for occasional requests. Drawback: if the confirmation email is lost, you will need to request the document from us.

With an account

Log in to FP Sign using your email address and password, and process requests in the ‘Received Requests’ overview. Signed documents are permanently available for download under ‘Signed Requests’.

In addition, you can save a signature image as your default, manage your mobile number yourself and appoint a substitute in case of absence. This is useful if you have several requests a year.

Both methods result in the same signature. We determine the signature type and security settings when the document is sent; your account does not affect this.

Create an account

You do not need to create an account yourself. If we have set the system to require login before signing when sending documents, FP Sign will automatically create the account for you when you receive your first enquiry and send you the login details by email.

Word-for-word transcript

If your law firm has sent you a signature request via FPSign and has selected the option requiring you to sign in before signing, you will receive an email from FPSign containing an initial password.

You’ll then have this initial password and can log in using this URL here.

I’ll log in once using these details And then you’ll be taken to your account. We recommend changing your password straight away, as this password is included in plain text in an email. You can do this by going to ‘Profile’ in the top right-hand corner.

A pop-up will now appear stating that your profile is incomplete. You can then fill in the details here. For demonstration purposes, I’ll ignore that for now. You can then click on ‘Change password’ at the bottom of the page, enter your current password, your new password and confirm the new password, and then change your password.

  1. Open the email containing your login details

The email informs you that a user account has been created for you. It contains the initial password issued by FP Sign and the link to your account with the signature request.

  2. Log in with your email address and initial password

Click on the link and log in using the email address to which we sent the request and the password from the email. The email address is your username.

  3. You accept FP Sign’s Terms of Use

When you log in for the first time, you must confirm FP Sign’s Terms and Conditions and Privacy Policy. This constitutes the agreement between you and the provider for the free use of the account.

  4. Change your initial password

In your profile, you can set your own password. The initial password is shown in plain text in the email and should therefore be changed as soon as possible.

  5. Open the signature request

Once you have logged in, the document will be listed under ‘Received Requests’. If nothing is displayed yet, the request may still be with someone who is signing before you.

After registering, you will receive a confirmation email. From then on, you can log in using your email address and password, either via the link in future requests or directly via the login page.

The email containing your login details also includes a link to decline the invitation. Once you click on this, you will no longer be able to sign the document. Please only use this link if you genuinely do not wish to sign the document, and in that case, please let us know briefly.

Account settings

You can access your profile via the main menu in the top left-hand corner, via the ‘Profile’ button in the top right-hand corner, or via ‘Settings’ on the home page. There you will find your profile details, communication settings and an overview of all your consents.

Default signature

If you have uploaded your own signature image, save it as your default signature by selecting ‘Set this signature as your default’ when signing. It will then be preselected for all future requests, eliminating the need to choose it each time.

A PNG file with a transparent background is best suited for the image. If the background is white, lines or text in the document beneath the signature will be obscured. The pre-designed signature images provided by FP Sign are legally equivalent; using your own image is simply a matter of personal preference.

Mobile number

The mobile number is the number to which the SMS TAN is sent. You can change it in your profile under ‘Mobile number’ > ‘Edit mobile number’. FP Sign will send a confirmation email, and the change will only take effect once you have clicked on the link contained within it.

Email address

Your email address is your username and you can change it yourself. You can change it in your profile under ‘Edit email address’. Please also let us know once you have done so.

Deputy during absence

In your profile, under ‘Auto-delegation’, you can appoint a deputy and specify a time period. Incoming requests will then be automatically forwarded to this person; we will be notified, and you will receive a summary once the period has ended.

This is useful if you are unavailable for an extended period but documents still need to be signed by the deadline. The substitute must be someone authorised to sign on behalf of your company.

Common sources of error

  • Second account with a different email address: If you register with an address other than the one to which we send requests, you will not see the requests. The address to which we send the request is the one that counts.
  • Mobile number changed only with us: The number in your FP Sign account is not updated automatically. Unless you update your profile, the SMS TAN will continue to be sent to the old number.
  • Confirmation link not clicked after changing number: The new mobile number only becomes active once confirmed via email. Until then, the old number remains valid.
  • Password entered incorrectly several times: After several failed attempts, the account may be temporarily locked. Using the ‘Forgotten password’ option will reset it.
  • Signature image with a white background: The image obscures text and lines in the document. This isn’t a legal issue, but it looks untidy; using a PNG with transparency avoids this.

Frequently asked questions

Do I absolutely need an account?

No. For the advanced signature, the link and the SMS TAN are sufficient. An account is only required if we have set the system to require login before signing when sending the document.

How much does the account cost?

Nothing. The account for recipients of signature requests is free of charge and will remain so permanently. Costs are incurred only if you wish to send signature requests to third parties yourself; this would require a separate contract with FP Sign.

Can I reset my password myself?

Yes, via the ‘Forgotten password’ option on the login page. FP Sign will send a link to your registered email address.

Why can’t I see a request in my account, even though you’ve sent me one?

Either the request is still with someone who needs to sign before you, or you’re logged in with a different email address to the one we sent it to. Please check both; if in doubt, please get in touch with us.

Can I change my email address in my account?

Yes. You can do this in your FP Sign profile under ‘Edit email address’. Please also let us know once you’ve done so.

Do I need to upload an image of my signature?

No. FP Sign offers pre-designed signature images that are legally equivalent. Uploading your own image is optional and purely for aesthetic purposes.

Can someone else in my company use the same account?

The account is personalised, as the signature is linked to you. For additional signatories, we’ll send separate requests to their addresses; each person will then receive their own account.
