E-invoicing: technical implementation in other accounting tools
This article briefly introduces BuchhaltungsButler, Billomat and Papierkram – following the same structure, but in a more concise form.
Introduction
If you use one of these programmes, you are generally well-equipped for e-invoicing. All three generate e-invoices in the standard formats; they differ in detail in terms of their range of functions and how they are operated. We then post the documents and handle the tax processing.
A clarification first: on paper, most programmes meet similar requirements – they generate XRechnung or ZUGFeRD and store documents. The differences only become apparent in day-to-day use, for example when receiving invoices, with automation or in terms of pricing tiers.
This article follows the structure of our tool guides but provides a concise summary of three programmes. For each one, we list the formats supported, a key feature and how to get in touch with us. If you have any further questions about a specific programme, please do get in touch.
BuchhaltungsButler
BuchhaltungsButler integrates e-invoices into automated accounting processes and is aimed at businesses focusing on process automation.
The software can both upload and generate e-invoices in the ZUGFeRD (PDF with embedded XML) and XRechnung (XML) formats. Incoming invoices can be imported – just like other documents – manually, via email or via a Dropbox connection.
The focus is on automating bookkeeping. Incoming e-invoices are scanned and processed; the structured data is fed into the document processing system.
Billomat
Billomat (part of aifinyo) focuses on invoicing and order processing and offers interfaces to e-commerce platforms.
The software generates e-invoices in the XRechnung and ZUGFeRD formats. A ZUGFeRD invoice generated by Billomat also contains a valid XRechnung within the embedded data set. It is important to note a restriction regarding templates.
E-invoices can only be created in Billomat using the standard template, not a Word template. You can set up the template under ‘Settings > Documents > Templates > Invoices’. Anyone currently using a Word template must switch to the standard template for e-invoices.
Papierkram
Papierkram is a streamlined accounting programme for the self-employed and small businesses and has been generating e-invoices for several years.
In the invoice view, next to the PDF download option, there is an ‘E-invoice’ button which you can use to generate and send the e-invoice file. This feature is now included in all packages, including the free one. If the ‘ZUGFeRD (PDF/A + XRechnung)’ format is selected in the document templates, invoices are automatically generated as ZUGFeRD documents.
Papierkram supports the strict XRechnung standard for public authorities from the paid package onwards. For ZUGFeRD-only invoices in business-to-business transactions, the free version is sufficient. We’ll work with you to determine which option best suits your volume.
The common blueprint
However different the programmes may be in detail, the basic workflow is the same for all of them – and corresponds to that of the larger tools.
You create the invoice as usual, select the format appropriate for the recipient (ZUGFeRD for businesses, XRechnung for public authorities) and send it. You import incoming e-invoices, check the details and forward the original file to us.
We cover the differences between XRechnung and ZUGFeRD separately:
We handle the posting and GoBD-compliant storage as part of our collaboration.
Submission to us
For processing, we require the original structured data from your incoming and outgoing invoices, not just the visible PDFs – regardless of which programme you use.
Data is transferred via the method agreed with us, such as DATEV Unternehmen Online or another solution for uploading documents.
If your software isn’t listed here, that doesn’t mean it’s unsuitable. Most common solutions meet the requirements – please get in touch and we’ll look at your software together.
Common sources of error
- Using a Word template in Billomat: Attempts are made to create e-invoices using a Word template. These can only be generated using the standard template.
- Incorrect paperwork package: The XRechnung standard for public authorities is expected in the free version. A paid package is required for this.
- Format unsuitable for the recipient: A standard XRechnung is sent to a business customer without a viewer. For businesses, ZUGFeRD is usually the better choice.
- Only the PDF is submitted: The visible PDF is used for submission to us. We require the structured data.
- Receipt treated as the final step: An invoice that has been scanned in is considered processed. Posting and archiving only take place at our end.
How we work together
You create and receive invoices regardless of the software you use; we handle the tax processing.
Your tasks:
- Select the appropriate format for each recipient and maintain master data
- Create and send e-invoices, and scan in incoming ones
- Provide us with the structured original data via the agreed method
Our tasks:
- Post the documents and classify them for tax purposes
- Take responsibility for GoBD-compliant storage
- Provide support with set-up and formatting issues, even if your software isn’t listed here
We will agree the exact breakdown with you.
